POSITION TITLE: Admissions Associate 

REPORTS TO: Visitor Services Manager  

JOB SUMMARY: The Admissions Associate is responsible for selling admissions, membership, and other items and for providing visitor services and information in a positive and friendly manner. 

 

GENERAL ACCOUNTABILITES AND ESSENTIAL FUNCTIONS 
  1. Greets visitors and provides information about the Aquarium. 
  2. Collects fees, operates computerized cash register, issues tickets, and sells memberships and related customer products, wheelchairs and strollers. 
  3. Answers telephones, routes calls as appropriate, and provides general public information. 
  4. Participates in customer services and sales training programs for team members. 
  5. Anticipates visitors unique needs and provides or requests appropriate assistance. 
  6. Assists in building evacuations in accordance with the crisis management plan as necessary and appropriate. 
  7. Properly handles and logs lost and found items and routes them appropriately. 
  8. Completes all opening and closing procedures, including morning counts and group check-ins.  
  9. Cleaning and maintaining rental fleet and working area

POSITION TITLE: Senior Keeper – Aviculture   

REPORTS TO: Curator of Birds  

JOB SUMMARY: Under the general direction of the Curator, the Senior Keeper is responsible for the daily activities relating to the maintenance of the animal collection. The Senior Keeper performs daily animal care and feeding and is responsible for the overall function during the absence of the Curator. 

 

GENERAL ACCOUNTABILITES AND ESSENTIAL FUNCTIONS 
  1. Provides for and supervises the husbandry of all birds in the collection according to the best available methods in animal care, nutrition, and medical treatment. 
  2. Observes, identifies, corrects, and reports animal or system problems to both co-workers and appropriate management levels before being noted by management or other Aquarium staff. 
  3. Reports unusual conditions or illnesses in the animals and assists in their treatment. Works with the veterinarian and the Curator on the care of animals that are ill or require treatment.  Calculates medicine dosages from information supplied by the veterinarian or the Curator.  Provides effective critical care to birds including acute emergency care without direct supervision and the management of long-term critical care with limited supervision. 
  4. Monitors exhibit water quality and perform water quality analysis as necessary and appropriate.  Provides additional expertise to aviculturists in trouble shooting water system and water quality problems. 
  5. Ensure that the exhibit areas are maintained according to the standards set by the Curator. 
  6. Works with other Aquarium functions as needed and appropriate, such as volunteer training, assisting with promotional events, and writing newsletter articles. Positively and accurately represents the Aquarium in presentations and tours given to media, staff, and visitors.   
  7. Participates in the receiving, intake assessment, and treatment of wild rehabilitation birds as needed.  Provides resource information as needed.  
  8. Participates in developing and delivering educational presentations to the public. 
  9. Provides resource information and utilizes operant conditioning techniques to train animals for husbandry and educational programs. 
  10. Maintains records system of animal accessions and dispositions as well as daily behavior, medical, training, enrichment, exhibit maintenance, and diet notes. 
  11. Presents at workshops, seminars, or lectures, member programs, and behind the scenes tours when opportunities are available  
  12. Participates in specimen collection and/or transport as needed.  Able to fully arrange animal transport including State and Federal permitting, flights, and carrier design, while ensuring animal safety. 
  13. Acts as liaison between the staff and management team on weekends or holidays, or in the absence of the curatorial staff. 
  14. Demonstrates a continued interest in advancements in the avicultural field.

KNOWLEDGES, SKILLS AND ABILITIES (Minimum levels)  
  • A degree in biology or a related field is desired; however, life experience in a related field may be allowed as a substitution for a degree.  Knowledge of complete animal physiology for aquatic birds is required.  Demonstrated ability in aquatic bird management methods.  Incumbents must have three years of experience working with captive birds at the Oregon Coast Aquarium; however, three or more years of outside experience in a related field of aviculture may be substituted. 
  • Knowledge of basic filtration and water quality management is required.  Knowledge of and ability to use computers and standard, commonly accepted computer programs is required.  Ability to work under limited supervision, both independently and in a team environment.  Ability to communicate in a precise, timely, and positive manner.  Thorough knowledge of all Oregon Coast Aquarium bird systems, the biology of bird species at the Aquarium, and disease recognition, as well as the ability to administer subsequent treatment.

POSITION TITLE: Director of Facilities

REPORTS TO: Chief Operating Officer

JOB SUMMARY: The Director of Facilities is responsible for the oversight of facility operations, maintenance and grounds staff management, and the development of strategies to enhance facility capabilities. They lead day-to-day accountabilities for the Facilities team and ensure efficient operation and maintenance of all Aquarium buildings.

GENERAL ACCOUNTABILITES AND ESSENTIAL FUNCTIONS

Performance will be up to standard when the following key result area needs are met in a professional and proactive manner.  Timeliness in execution, attention to detail, thoroughness, and positive energy should be clearly displayed.  This position is responsible for all aspects of the Aquarium facility, engineering, and coordination with on-site agencies prior to and during ongoing construction, implementation of approved projects. The Director of Facilities is key to maintaining a modern, effective infrastructure in coordination with diverse entities to achieve the Aquarium’s objectives. This position is responsible for operational facility related issues and will serve on committees and work independently to make decisions for the best outcome for the Aquarium.

POSITION DUTIES and REQUIREMENTS

This position is responsible for the implementation of facility projects and will be also involved in planning and design. They will be required to be current on all building and planning regulations and codes in addition to contractual and financial guidelines and industry standards and decisions regarding safety and environmental security, including earthquake and tsunami preparedness that will impact the Aquarium, its visitors, volunteers and employees.

  • Demonstrates an understanding of the Oregon Coast Aquarium, Oregon as a community and the greater Aquarium industry.
  • Work as a part of a team to develop strategies and policies for the Aquarium, focusing on the areas of facilities and grounds– keeping the Executive Team appraised of status of various projects, issues and developments.
  • Servers as a member of the senior team. Submits progress reports, and meets with the Executive Team as required.
  • Participates in the development of new exhibits as a member of the Exhibits and Facilities committees. Oversees the construction and repair of all exhibits.
  • Prepares, tracks, and monitor Maintenance and Grounds Department budgets.
  • Supervises and participates in the hiring, training, scheduling, supervision and performance of all facilities and grounds staff.
  • Oversees new construction.
  • Prepare written reports outlining project, goals and cost estimates.
  • Investigate facility’s needs, analyze, recommend and implement solutions. Creates and maintains a facility preventative maintenance schedule.
  • Consult with other professionals when required, on design questions or specific engineering problems and principals specific to Aquarium needs.
  • Oversee construction projects, both in-house and contracted from conception to completion.
  • Consult with contractors and vendors to coordinate timely work schedules and the oversight of materials being used.
  • Ensure that all federal and state building codes are being met involving any facility related projects.
  • Assesses physical conditions, develops plans, monitors and oversees the implementation to completion of projects for maintenance, grounds, custodial and operations departments.
  • Responsible for record keeping and report systems in the Facilities Department.
  • Approves all expenditures related to the Facilities Department.
  • Promotes the safety and training for applicable staff on proper operation of all facility related tools and equipment.
  • Serves on the Aquarium’s safety committee.

SUPERVISORY RESPONSIBILITIES

This position supervises all Maintenance staff and the Grounds Department.

QUALIFICATIONS REQUIRED (Minimum)
  • Minimum of six years’ experience in the supervision of building or construction projects – including formulation of project specifications, soliciting bids, monitoring work and budgets for the projects.
  • Minimum of four years’ experience operating and providing maintenance to an industrial plant or commercial facility.
  • Proven knowledge of building construction, carpentry, plumbing and electrical and other maintenance skills. Specialized training or certification in these areas is preferred.
  • Proven knowledge of building codes and engineering practices in all aspects of construction.
  • Experience maintaining HVAC systems and specialized equipment such as chillers.
  • Goal oriented and close attention to detail.
  • Must be able to use word processing, spreadsheet, and computer maintenance management software programs.
  • Must be able to work outside in varying degrees of weather conditions. Climb stairs, ladders and the use scaffolding is a requirement.  Must be able to work in confined spaces such as tunnels and tanks.  Successful candidate have or be able to obtain a confined space supervisor certification within six months of the date of their employment.
  • Experience with OR-OSHA Division II General Occupational Safety and Health Rules.
  • Experience in inspecting ladders, power tools and other maintenance related equipment for safety.
  • Must have a valid driver’s license upon starting employment at the Aquarium.
Dive Staff - Seasonal
This seasonal, hourly, non-benefitted position is considered non-exempt according to the Fair Labor Standards Act.

POSITION TITLE: Seasonal Dive Staff
REPORTS TO: Dive Safety Officer
HOURS OF WORK: This position is funded for 4 consecutive months, starting as early as May 1, 2025, or ending as late as September 30, 2025.  Strong preference will be given to those candidates who can start as close to May 1st as possible.  
 
JOB SUMMARY: The Seasonal Dive Staff, under the direction of the Dive Safety Officer and Assistant Dive Safety Officer, assists in supervising the exhibit dive safety program, including overseeing and enforcing dive safety policies, following AAUS and OSHA guidelines for all divers and dive activities under the auspices of the Aquarium.  The candidate is responsible for assisting with the volunteer & staff Dive Program and for performing various daily tasks required by the dive program. 
 
GENERAL ACCOUNTABILITES AND ESSENTIAL FUNCTIONS
  • Supervise exhibit dives (35%): As surface personnel, monitor SCUBA and hookah exhibit dives and maintain readiness to manage emergencies should they occur.  Complete air-fills of SCUBA cylinders.  
  • Perform exhibit dives (20%): As a diver, complete animal husbandry exhibit dives.  These include cleaning, feeding, and related tasks.  All the necessary diving equipment will be provided.  
  • Assist in Rescue Drills and Trainings, and miscellaneous Dive Program tasks (15%): Assist DSOs with implementing rescue drills and training as required.  Miscellaneous tasks may include documentation, general upkeep of dive program equipment, assisting DSOs with prepping or breaking down for fieldwork equipment and research vessel, etc.  
  • Husbandry tasks (30%): Assist with routine animal husbandry tasks, including but not limited to: opening and closing rounds, food prep, feeding, siphoning exhibits, maintaining life support equipment, etc.  
 
 
QUALIFICATIONS
  • Must hold a minimum SCUBA certification level of Rescue Diver from a recognized SCUBA recreational training organization (PADI, NAUI, SSI, etc.)  An AAUS Scientific Diver authorization may substitute for this requirement.  Certification as Divemaster certification is a preferred qualification for this posting.  
  • Must have cold water diving experience and have logged at least 40 total dives
  • Must be able to pass an AAUS medical and swimming examination
  • Must be able to obtain physician sign-off on the OCAq Dive Program Description of Work form.  
  • Preferred qualification: certification in CPR, First Aid, AED, and Oxygen First Aid for divers
  • Must be able to work weekends and holidays and some evenings if necessary
  • Public speaking skills are required in small groups and with the public
  • Must be able to exercise care and judgment when working in exhibits with animals 
  • Must be agile with a good sense of balance in order to maneuver around the exhibits and lift 50 pounds
  • Must be able to don & doff SCUBA and diving exposure equipment without assistance and enter & exit the water in full SCUBA and diving exposure equipment without assistance.

REPORTS TO: Director of Finance  

POSITION SUMMARY: This position oversees all aspects of the Aquarium’s technology infrastructure, ensuring seamless operations that align with organizational goals. This role is responsible for developing and implementing IT strategies that drive innovation, enhance system performance, and support a culture of continuous improvement. The IT Manager leads a team of IT professionals, providing mentorship, training, and development opportunities to foster technical expertise and professional growth. Additionally, this position ensures the security, efficiency, and reliability of IT systems and infrastructure, playing a critical role in maintaining and advancing the Aquarium’s technological capabilities 

              

GENERAL ACCOUNTABILITES AND ESSENTIAL FUNCTIONS  
  1. Provides support and services to maintain the optimum operations of all Aquarium networks, servers, computers, phones, printers, electronics, media systems. Oversees the management and maintenance of IT systems and infrastructure.  
  2. Assists all staff in the operation of Aquarium technology, by providing both onsite and remote support. Develops and implements training for staff. 
  3. Identifies, develops, customizes, and maintains software for all departments of the Aquarium. 
  4. Demonstrates flexibility in response to changes in Aquarium technological needs, and stays up to date on IT best practices through regular professional development.  
  5. Provides setup, training and assistance for all audio and video equipment utilized at the Aquarium. Ensures an IT staff is available for troubleshooting special events and meetings. 
  6. Maintains a long-term IT roadmap and leads implementation processes for the organizations’ IT systems and department. Facilitates information sharing and coordinates joint initiatives.  
  7. Recruits, trains, mentors, and motivates IT staff. Conducts performance evaluations and regularly provides timely, constructive feedback.  
  8. Identifies technology needs and makes recommendations for improvement of IT infrastructure. Oversees procurement of IT hardware, software, and services.   
  9. Manages the IT department budget and ensures cost-effective allocation of resources. Develops and maintains relationships with external IT vendors and support service providers.  
  10. Oversees security of systems, networks, and enterprise information. Monitors and responds to security threats and incidents. Ensures cybersecurity measures are in place to protect sensitive information. Facilitates IT security audits or investigations. 
  11. Develops and implements business continuity protocols to minimize disruptions in the event of emergency situations or data loss. 
  12. Evaluate the company’s adherence to federal technology requirements for security. Ensure compliance with regulations and industry standards.

REQUIRED QUALIFICATIONS: 
  • A bachelor’s degree in computer science, information systems, educational technology, or related field is required. Minimum five years of IT management experience leading teams is required, with a proven ability to lead, motivate, develop, and manage a team of IT professionals.  
  • Ability to independently problem-solve, prioritize, manage multiple tasks, provide self-direction, and delegate IT team responsibilities. Previous project management experience with diverse stakeholders required.  
  • Demonstrated ability to manage and execute organizational advancement by developing change management strategies, identifying potential threats and resistance, and creating risk mitigation plans. Demonstrated ability to set mission-aligned IT strategies including creating and managing departmental budgets.  
  • Experience establishing and maintaining positive relationships with employees at all levels of an organization through proven communication, interpersonal, and collaborative skills. Demonstrated ability to communicate effectively with both technical and non-technical audiences by being solution-oriented, innovative, and proactive when addressing issues facing the workforce.

POSITION TITLE: Senior Facilities Technician

REPORTS TO: Director of Facilities

JOB SUMMARY: A Senior Facilities Technician is responsible for performing maintenance tasks as assigned to maintain the interior and exterior building structure, fixtures, stationary equipment and furnishings. They are able to plan and manage projects without assistance of the Director.

GENERAL ACCOUNTABILITES AND ESSENTIAL FUNCTIONS
  1. Maintains and repairs stationary equipment, fixtures and furnishings.
  2. Operates hand and power tools and maintains them in clean, good working order.
  3. Follows safety practices and rules on all tasks.
  4. Constructs, repairs and maintains building and structural components working with various materials such as concrete, wood, metal, glass and plastic.
  5. Helps co-workers when assistance is requested and asks other co-workers for assistance when needed.
  6. Makes estimates of time and materials required for assigned tasks and keeps simple records of work accomplished.
  7. Assists with vendor coordination and accurately describe deficiencies and possible solutions over a wide range of issues related to facilities.
  8. Assists in the construction and breakdown of temporary exhibits as necessary.
  9. Designs, builds, and implements projects independently.
  10. Directs projects as delegated by the Director of Facilities.
  11. Attends appropriate trainings and seminars to increase efficiency and knowledge base for job.

  • Proficienct in all aspects of carpentry, including cutting, shaping, framing, assembling, installing, and repairing wood and other materials. Proficient in using hand tools, power tools, and machinery for cutting, shaping, and assembling wood. 
  • Experience working with wood, wood substitutes, lightweight steel, and other construction materials.
  • Ability to interpret and understand blueprints, sketches, schematics, and other technical drawings in order to understand project scope and specifications. 
  • Knowledge of relevant building codes, safety regulations, and industry standards.
  • Strong verbal and written communication skills to effectively communicate with staff and management.
  • Ability to work under limited supervision, both independently and in a team environment.
  • Current First Aid and CPR certification is desirable. 
  • Ability to obtain and hold valid Oregon Driver’s License required.

POSITION TITLE: Operations Technician (Seasonal, Full-Time)

REPORTS TO: Operations Manager

JOB SUMMARY: Responsible for ensuring that visitors, staff, and volunteers have a safe and enjoyable experience at the Aquarium. Provides high-quality customer service while working as a team to aid in day to day functions of the facility.

General Accountabilities and Essential Functions
  1. Assists with ensuring that the Aquarium is ready to open and close each day; turns on lights and systems, prevents access to behind-the-scenes areas, locks and unlocks doors, ensures general facility is in operational condition.
  2. Makes rounds and maintains a constant presence within the facility to answer questions, provide assistance, and enforce policies for visitors. Policies should be enforced through positive contact with visitors.
  3. Monitors live animal presentations.
  4. Responds to first aid calls and contacts outside assistance when necessary.
  5. Prepares incident and accident reports as necessary to document situations and actions taken, in accordance with OR-OSHA and SAIF standards.
  6. Notes and removes possible unsafe and unsightly conditions. Maintains effective communication with departments involved.
  7. Completes monthly checkups on safety equipment including AEDs, fire extinguishers, first aid kits, emergency showers and emergency eye wash stations.
  8. Assists with emergency drills including but not limited to fire drills and tsunami drills. Writes, files, and maintains appropriate reports and records for these drills and/or events.
  9. Assists with the Aquarium’s lost and found program.
  10. Initiates pass-on information with TCB Security and appropriate Aquarium staff and/ or volunteers.
  11. Conducts weekly collections from penny smashers, donation boxes, and feminine hygiene dispensers.
  12. Calls appropriate staff from other functions to respond to situations as necessary. Aids in communication between departments. Communication via radio, phone, email.
  13. Assists staff from varying departments with daily tasks as needed/ upon availability. This may include standing in for admissions staff or completing restroom checks for custodial staff.
  14. Delivers mail to Aquarium receptionist and receives packages from carrier. Facilitates deliveries from freight lines and outside venders.
  15. Monitors all coin smashers and vending machine bill acceptors and performs necessary cleaning.
  16. Climb ladders. Carries equipment up or down ladders.
  17. Work in inclement weather throughout the day.
  18. Walk an average of 8-10 miles a day.
  19. Ability to lift 50 lbs and utilize a hand truck.

Knowledge, skills, and abilities (minimum levels)

Minimum one year experience in customer service required. Current first aid and CPR certification is preferred. A valid Oregon driver’s license is required. Proficiency in Microsoft Office programs is required. Must be able to climb ladders and lift up to 50lbs at a time. Must be able to walk long distances and stand for long periods of time. Strong sense of problem solving, organization, and conflict resolution desired. Must be able to work weekends and holidays. Approved applicants will be subject to a criminal history background check.
