Assistant Dive Safety Officer

POSITION TITLE: Assistant Dive Safety Officer

POSITION DESCRIPTION: The Assistant Dive Safety Officer (ADSO) will assist the Dive Safety Officer (DSO) in oversight and management of the Oregon Coast Aquarium dive program, both exhibit and field.  Position duties will focus on field operations in the summer and diver trainings & equipment servicing in the winter.  The applicant must have the aptitude for both technical office work as well as physically demanding fieldwork.  95% of exhibit and field diving ops will take place in cold water, 46—52° F. 

Duties Include:
  • Designated Person in Charge for dive operations. Supervise staff and volunteer diver operations. 
  • Enforce dive safety policies.
  • Prepare and edit written policies, SOPs, the Dive Safety Manual, etc.
  • Maintain diver files and paperwork.
  • Service all dive equipment (cylinders, valves, regulators, full face masks, BCDs, drysuits & wetsuits, compressor, etc).
  • Boat and trailer maintenance & repairs
  • Train divers in exhibit diving and field diving techniques & equipment (drysuit, nitrox, DIR gear configuration, boat diving, full face mask, video/photo, DPV, etc).
  • Conduct routine Basic Life Support & EO2 trainings
  • Conduct dive rescue drills
  • Animal husbandry exhibit dives (approx. 1-2 dives per week)
  • Field research & animal collections diver (approx. 25 days per year)
  • Surface research boat ops, animal collections, and animal tagging of invertebrates, fishes, and large sharks by handline, hook-and-line, long-line, etc.
  • Organize fieldwork excursions
  • Fill station operator
  • Research vessel operation in ocean conditions (approx 30-50 days per year)
  • Trailer research vessel on highway
  • Overnight field research & animal collection trips (typically 2-3 consecutive days of remote work per trip). 4 or more trips per year. 
  • Conduct and supervise paid guest diver events
  • Assist with training and supervising the interpretive dive program.
  • Assist with training and supervising of dive staff
  • Represent the OCAq at symposia, conferences, public speaking events, etc.

GENERAL ACCOUNTABILITES AND ESSENTIAL FUNCTIONS

Presentation of required certifications, licensures, and skill verification must occur after offer and by first day of employment.

  • Open Water Scuba Instructor with internationally recognized training agency (NAUI, PADI, SDI, GUE, etc.).
  • Basic Life Support & Emergency Oxygen Provider Instructor, preferably
  • AAUS Scientific Diver
  • Demonstrated cold-water diving experience (minimum 100 dives in < 65° F water)
  • Demonstrated experience working aboard small vessels in ocean conditions

POSITION TITLE: Digital Communications Specialist

REPORTS TO: Director of Marketing

POSITION SUMMARY: This role is responsible for managing and optimizing the Oregon Coast Aquarium’s digital presence across web, email, and social platforms to enhance guest engagement, support membership and admissions, and advance organizational priorities. The position oversees website content, email campaigns, SEO, and integrated digital marketing initiatives, ensuring accessibility, mobile responsiveness, and data-driven optimization. Acting as both strategist and content creator, this role develops cohesive content calendars, produces engaging digital and filmed content, and collaborates across departments to align messaging with programming and operations. The position leverages analytics to guide improvements, maintains digital workflows and governance, and supports scalable systems that drive efficiency and impact. With a strong foundation in UX/UI design, accessibility, and digital marketing best practices, this role ensures a seamless, inclusive, and compelling online experience for all audiences.

 

GENERAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS
  1. Manage and update website content for the Oregon Coast Aquarium, optimizing navigation, mobile responsiveness, and accessibility.

  • Minimum of 2-3 years of professional experience in digital marketing, with a demonstrated track record of leading integrated digital campaigns, managing web content, and optimizing user experience across channels.

POSITION TITLE: Director of Finance 

REPORTS TO: CEO 

JOB SUMMARY: Supervises and manages the day-to-day financial and business office functions of the Aquarium. Analyzes the financial condition of the Aquarium and prepares related reports. Coordinates the preparation of the annual budget. Provides financial advice, leadership, and guidance to Aquarium departments. Oversees Business Office. Serves as a member of the senior management team and the Finance/Audit Committee. 

 

GENERAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS 
  1. Recommends programs and policies to the President and the Board of Directors to ensure that the finance and accounting systems of the Aquarium reflect current advancements in financial management and helps the Aquarium maintain a strong financial position.
  1. Reviews a variety of financial reports and analyzes financial trends to evaluate the accounting systems and overall financial conditions of the Aquarium.
  1. Leads the day-to-day operations and staff of the Business Office.
  1. Prepares monthly financial statements, cash flow reports, departmental expense reports, summary reports and other information systems that meet the needs of the Aquarium.
  1. Reviews and accounts for all accounts receivables, payables, and payroll preparation and reports. Is knowledgeable and stays current with all Federal and State payroll law, regulations, and requirements. 
  1. Monitors internal controls, daily cash flows and authorizes payment of Aquarium obligations. 
  1. Ensures completion of monthly, quarterly, and annual payroll reports for the appropriate governmental agencies.  Initiates payments for payroll taxes.
  2. Assists with the procurement and administration of employee insurance plans, retirement funds and other employee benefit programs, including preparation of annual 5500 plan filing.  
  3. Manages Aquarium liability, property, and insurance plans, including procurement of insurance policies.
  4. Coordinates the Aquarium’s annual budget and inputs budget into accounting program.
  5. Ensures that restricted funds are accounted for and spent per donor agreements.
  6. Oversee monthly payments to HSA accounts and retirement funds.  
  7. Establishes and maintains systems to manage and control the Aquarium’s assets. 
  8. Assists with on-site vendor operations, including contract negotiations 
  9. Prepares annual audit work papers and documentation for the preparation of the annual non-profit tax returns. Reviews prepared Form 990 and annual audited financial statements.  
  10. Reports to President and the Board of Directors on all financial matters.  
  11. Attend Board, Executive Committee meetings and other Committee meetings as required. 
  12. Prepares a variety of reports and participates in special projects at the direction of the President and the Board of Directors. 
  13. Oversight of capital project budgets, working closely with CEO on budget timelines for life of projects. Will attend all meetings in regard to capital projects as required.
  14. Oversees cash management of liquid funds to maximize investment return. 
  15. Builds the financial literacy and competencies of leadership staff through trainings, 1:1 work, and reference materials. 
  16. Optimize processes, while ensuring accuracy and compliance, to minimize administrative burden and increase efficiency.

POSITION SUMMARY: This position oversees all aspects of the Aquarium’s technology infrastructure, ensuring seamless operations that align with organizational goals. This role is responsible for developing and implementing IT strategies that drive innovation, enhance system performance, and support a culture of continuous improvement. The Director of Information Technology leads a team of IT professionals, providing mentorship, training, and development opportunities to foster technical expertise and professional growth. Additionally, this position ensures the security, efficiency, and reliability of IT systems and infrastructure, playing a critical role in maintaining and advancing the Aquarium’s technological capabilities

            

GENERAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS
  1. Provides support and services to maintain the optimum operations of all Aquarium networks, servers, computers, phones, printers, electronics, media systems. Oversees the management and maintenance of IT systems and infrastructure. 
  2. Assists all staff in the operation of Aquarium technology, by providing both onsite and remote support. Develops and implements training for staff.
  3. Identifies, develops, customizes, and maintains software for all departments of the Aquarium.
  4. Demonstrates flexibility in response to changes in Aquarium technological needs and stays up to date on IT best practices through regular professional development.

  8. Identifies technology needs and makes recommendations for improvement of IT infrastructure. Oversees procurement of IT hardware, software, and services. 
  9. Manages the IT department budget and ensures cost-effective allocation of resources. Develops and maintains relationships with external IT vendors and support service providers.
  10. Oversees security of systems, networks, and enterprise information. Monitors and responds to security threats and incidents. Ensures cybersecurity measures are in place to protect sensitive information. Facilitates IT security audits or investigations.
  11. Develops and implements business continuity protocols to minimize disruptions in the event of emergency situations or data loss.

SUPERVISORY RESPONSIBILITIES:

This position supervises all IT technicians, systems administrators, and analysts.

REQUIRED QUALIFICATIONS:
  • A bachelor’s degree in computer science, information systems, educational technology, or related field is required. Minimum five years of IT management experience leading teams is required, with a proven ability to lead, motivate, develop, and manage a team of IT professionals. 
  • Ability to independently problem-solve, prioritize, manage multiple tasks, provide self-direction, and delegate IT team responsibilities. Previous project management experience with diverse stakeholders required.
  • Demonstrated ability to manage and execute organizational advancement by developing change management strategies, identifying potential threats and resistance, and creating risk mitigation plans. Demonstrated ability to set mission-aligned IT strategies including creating and managing departmental budgets.
  • Experience establishing and maintaining positive relationships with employees at all levels of an organization through proven communication, interpersonal, and collaborative skills. Demonstrated ability to communicate effectively with both technical and non-technical audiences by being solution-oriented, innovative, and proactive when addressing issues facing the workforce.
  • Extensive knowledge of modern operating systems, local area networks, servers, databases, software applications, security technology, firewalls, and network design/management is required.

PHYSICAL DEMANDS:

The work involves considerable walking and kneeling. The ability to lift and carry up to 40 pounds is required. The ability to ascend and descend ladders/steps is required. 

MENTAL, HEARING, AND VISUAL DEMANDS:

The work involves continuous mental and visual attention involving reading, analyzing, visualizing, or otherwise performing very involved, comprehensive work.

WORKING CONDITIONS:
Some sedentary work is required when performing administrative duties at a computer station. Travel is required for conference attendance and procuring supplies. Work is performed both indoors and outdoors in variable weather conditions.

POSITION TITLE: Facilities Technician I

REPORTS TO: Director of Facilities

JOB SUMMARY: A Facilities Technician I is responsible for performing maintenance tasks as assigned to maintain the interior and exterior building structure, fixtures, stationary equipment and furnishings. The role requires strong attention to detail and a foundation in basic maintenance and repair techniques to ensure safe and efficient facility operations.

GENERAL ACCOUNTABILITES AND ESSENTIAL FUNCTIONS
  1. Maintains and repairs stationary equipment, fixtures and furnishings.
  2. Completes morning facility walkthroughs and safety checks on a regular basis.
  3. Operates hand and power tools and maintains them in clean, good working order.
  4. Follows safety practices and rules on all tasks.
  5. Constructs, repairs and maintains building and structural components working with various materials such as concrete, wood, metal, glass and plastic.
  6. Helps co-workers when assistance is requested and asks other co-workers for assistance when needed.
  7. Determines time and materials required for assigned tasks and keeps simple records of work accomplished.
  8. Assists in the construction and breakdown of temporary exhibits as necessary.
  9. Attends appropriate trainings and seminars to increase efficiency and knowledge base for job.

Vocational training or certification in a related field is preferred.  Minimum of 1-2 years of maintenance experience in high traffic facilities. Basic carpentry skills required.

Current First Aid and CPR certification is desirable.  Ability to obtain and hold valid Oregon Driver’s License required.  Ability to work under limited supervision, both independently and in a team environment.

PHYSICAL DEMANDS:

The work involves considerable standing and moving about on surfaces that are often wet and slippery.  The ability to ascend and descend steep ladders/steps is required.  The ability to lift and carry up to 60 pounds is required.

MENTAL, HEARING, AND VISUAL DEMANDS:

The work involves continuous mental and visual attention involving reading, analyzing, visualizing, or otherwise performing very involved, comprehensive work.  The incumbent must be able to differentiate the sounds of various motors, compressors, and other machinery.

This role combines high-quality food and drink preparation with accurate cash handling, strong communication, and a commitment to cleanliness and safety. The cashier ensures food quality and compliance with health regulations, maintains inventory, supports fast-paced operations with adaptability, and uses digital systems efficiently. With a focus on professionalism, inclusiveness, and collaboration, this position plays a critical role in creating a welcoming and efficient service environment, while also performing additional duties as needed to support the overall success of the team.

POSITION TITLE: Group Bookings Coordinator

REPORTS TO: Director of Mission Engagement

STATUS: Part-Time (20 hours/week), Non-Exempt

JOB SUMMARY: The Group Bookings Coordinator is the first point of contact between the Aquarium and our groups/schools prior to their visit. Quality customer service is the single most important factor for this position. The coordinator makes reservations for education programs and group/school visits, schedules programs, provides materials, and notifies participants and instructors.

 

GENERAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS
  1. Provides quality customer service both on the phone and through electronic communication. Receives and responds to inquiries.
  2. Books school and group field trips/admissions.
  3. Makes reservations for education programs including but not limited to classes, outreach, early admissions, and sleepovers. Maintains electronic reservation system.
  4. Consistently presents labs and other offered experiences in booking conversations.
  5. Collects payments utilizing credit card system including, but not limited to, program deposits and final payments and volunteer fees.
  6. Sends confirmation packets based on the program. Works with Mission Engagement, Operations and other departments to maintain current policies and procedures in the packets.
  7. Works with the Mission Engagement and Development departments to manage required data and generate reports as requested.
  8. Notifies instructors of scheduled programs and maintains calendar. Works closely with Learning and Engagement staff on balancing program schedules.
  9. Notifies all staff of scheduled groups and school group visits. Maintains program calendars.
  10. Works with the Learning and Engagement Manager and Sleepover Coordinator to manage sleepover schedule. Communicates schedule to TCB/operations, fire marshal, and relevant departments.
  11. Works with the Conservation Engagement Manager to schedule field programs.
  12. Works with the Community Engagement Specialist to schedule regional road trips to schools and communities.
  13. Works with the Learning and Engagement team and the Educator Engagement Manager to maintain updated teacher packets and ensure communication with teachers.
  14. Proactively identifies and integrates efficiencies into work processes and procedures
  15. Provides guest feedback and concerns to Director. Tracks and Identifies trends in guest needs, feedback, and inquiries to share and problem solve.
  16. Participates, as directed, on Aquarium committees as a Mission Engagement Department Representative. Contributes as appropriate and acts as liaison between the department and committee.

JOB SUMMARY: As a contributor to the Aquarium’s mission and guest experience, the Seasonal Groundskeeper is responsible for repairing and maintaining fixtures, setting up for Sea of Lights, and  preforming site landscaping. This role supports the operational excellence of the organization by performing a broad range of groundskeeping duties associated with the winter season. The Seasonal Groundskeeper works collaboratively across departments, demonstrates professionalism and respect, and is committed to safety, stewardship of resources, and continuous improvement. 

GENERAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS
  1. Perform routine and seasonal grounds maintenance tasks, including but not limited to mowing, pruning, planting, fertilizing, and watering landscaped areas. 
  2. Install, maintain, clean, and repair exterior fixtures and structures such as benches, signage, fences, and lighting. 
  3. Maintain, repair and install outdoor surfaces including walking paths, sidewalks, and parking lots to ensure safety and accessibility. 
  4. Operate hand tools and power equipment (e.g., mowers, trimmers, blowers) safely and maintain them in clean, working conditions. 
  5. Follow all safety protocols, including the proper use of equipment, PPE, and emergency procedures. 
  6. Partner with Environmental Health and Safety Manager to ensure adherence to state, federal, and local laws, regulations, and guidelines.  
  7. Execute departmental seasonal weather response responsibilities such as distributing de-icer, shoveling walkways, and setting up signage

POSITION TITLE: IT Technician (Temporary)

REPORTS TO: IT Manager

JOB SUMMARY: The IT Technician provides front-line technical support to staff, maintaining the organization’s technology infrastructure and ensuring users have reliable access to hardware, software, and network resources. This position requires a hands-on problem solver who can address day-to-day technical issues, assist with system maintenance, and support technology projects. While primarily focused on direct service and technical troubleshooting, the IT Technician also contributes to broader IT initiatives that enhance organizational efficiency and innovation.

 

GENERAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS
  • Serve as the first point of contact for technical support, responding to tickets, calls, and walk-up requests.
  • Diagnose and resolve hardware, software, and peripheral issues across desktops, laptops, mobile devices, printers, and related equipment.
  • Provide training and guidance to staff on common technical tools, applications, and security practices.
  • Assist with installation, configuration, and updates of hardware, software, and operating systems.

POSITION TITLE: Sleepover Educator (Part-Time)

REPORTS TO: Education Manager

JOB SUMMARY: Responsible for directing participants and facilitating all activities, including educational programs, tours, meals, set-up and clean-up, during sleepover programs.

 

GENERAL ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS
  1. Working with a team of Sleepover Educators, engages with, directs and is responsible for participants ages 8 and older after Aquarium operating hours; group sizes up to 60.
  2. Greets, checks in and processes required paperwork for sleepover participants as they arrive; help direct storage and transport of participants’ gear.
  3. Sets expectations for and enforces policies and protocols with sleepover groups.
  4. Prepares and teaches various activities such as educational scavenger hunts, classroom programs, exhibit interpretation, behind-the-scenes tours and other activities.
  5. Maintains current knowledge of the Aquarium’s mission, aquarium organisms and their habitats, and applicable policies and procedures
  6. Facilitates dinner, breakfast, and evening snack; performs light clean-up of kitchen area, classroom and dishes.
  7. Supports security staff during discussion of and walk through of fire evacuation routes.
  8. Utilizing handheld radios, maintains communication with security, custodial, gift shop and husbandry staff as needed throughout the event.
  9. Distributes and collects program surveys from adult participants.
  10. Takes a pro-active role in communicating schedule availability; responds to email correspondence with program updates to affirm receipt.
  11. Communicates any logistical or programmatic issues to the Education Manager in a timely manner.
  12. Ensures that all participants feel comfortable, are safe, and have a positive, social, educational experience.

High school equivalency is required; some college level study in the natural sciences, education or related field and/or experience in an informal education facility (camps, museums, zoos, aquariums, science centers) are desirable. Verified substantive experience working with children is required; examples of acceptable experience include, but are not limited to teaching classes, coaching team sports, camp counseling, leading a 4-H club or scouting program. Ability to obtain an OR Food Handlers’ card is required.

Skills necessary for this position include excellent customer service skills and group management using positive methods. Incumbents must have excellent communication and interpersonal skills that allows them to work closely and effectively with people from different backgrounds, cultures, ages and beliefs. Knowledge of Oregon Coast marine life desirable. Knowledge and ability to use computers and standard, commonly accepted computer programs is required. The incumbent must also have excellent time management and organizational skills.

The incumbent must be able to pass a criminal background check prior to assuming job duties.

WORKING CONDITIONS:

This position typically works between the hours of 5:30 p.m. – 10:00 a.m. The work involves walking through the Aquarium during the evening and night-time hours, both inside and outdoors in a variety of weather conditions. Requirements also include being able to climb stairs and lift up to 50 pounds if needed. The incumbent may sleep when the group that they are interacting with is asleep, but must be able to awake and tend to the needs of any member of the group at any time during the night. The Aquarium provides an air mattress and/or sleeping pad for each staff member, but other sleeping supplies are not provided.

ATTENDANCE REQUIREMENTS:

This position is an adjunct position that is irregular in nature. Staff members are not guaranteed any specific number of hours or events per pay period. Staff must work a minimum of one sleepover event every two months to remain active unless otherwise excused. Mandatory paid training sessions are scheduled 1-2 times per year.
